Example: Track Job progress with Custom Status Icons
Connect2Field is a hub for many businesses to manage their work flow process, right from Quoting to Dispatching Jobs, Scheduling to Invoicing.
While the stages of work are mainly similar for different business types, the manner of tracking may change to suit personal or business specific requirements.
This tutorial will show you how some of our customers have used Custom Job Status icons to track Job progression stage
Connect2Field comes with default built in icons to track job progress. This can be accessed from your dashboard via:
Options -> Job Configuration -> Manage Job Status & Status Images
Here is the default Job Status Icons
From here you can either modify the default Status or Add a New Status.
Ps: You cannot change the name of Default Statuses, you can only change their picture..
Let us now add a new Status to this list.. Click 'Add New Status'
We now have a new Status 'Invoiced' with a new image..
Let us now see, how this feature can help with Job Tracking & Job Status Updating
Unlike default statuses which get applied automoatically as your job progresses from Start to Finish; the Custom Status need to be applied manually.
To understand this feature better, Let us check our job listing and apply a new status to an existing job.
The above Job Central page shows, 2 completed jobs (100, 103), 1 Dispatched (102) and a Started Job (101)
For our real time example, let us consider, that for Job 100 which is completed, you print and sent an invoice. You would like to now have a status showing, that job has been completed and invoice printed. Hence no need to print invoice again.
The Custom Status we created earlier for Invoiced be used for this scenario.
Click on the job whose status you would like to modify, and change the status as below:
As you can see, this icon for us means, that the job has been completed, and an invoice has been sent to the client.
Let us move a step further. Suppose on receiving the Invoice, the client pays the outstanding amount. So now we need to change the status from Invoiced to something else, which reflects that payment has been received.
Earlier, we had created a new status of Payment Rcvd.. That should come handy now..
Open Job 100 and change status to 'Payment Rcvd'. Save.
Your main job central page, now looks like this:
As you can see, the Status icon has changed to the '$' image we sent for 'Paymnt Rcvd' Status.
Custom Icons is a smart way to track Job Progress. For businesses who have multiple admins, Custom icons are a must to keep users in sync with Job Statuses.
