Connect2Field - Xero Integration
Connect2Field and Xero can take away the hassle of double handling between your job management application and accounting package.. Connect2Field integrates seamlessly with Xero and currently you can import your Clients as well as Invoices into Xero from Connect2Field..
Let us see how to set this up.. For better understanding we are doing this for an example account 'CheckMate Solutions'
Login to your Connect2Field account..
From your dashboard, choose:
Options->Integration->Xero
On the main screen you can see:
- Date picker for your invoices
- Is the button to transfer your contacts/customers from Connect2Field to Xero
- Is the button to transfer your invoices from Connect2Field to Xero
- Xero Configuration Settings box
Initially we need to link Connect2Field to Xero.. For this click the Xero Settings button (4) above..
There are no setting in the box initially, hence we need to connect both applications.. Hit 'Connect'
You are redirected to Xero login page as below:
Enter the login details for your Xero Account.. For our example we are entering the login details for 'CheckMate Solutions'
The first screen post login, shows your account details with Xero and asks you to 'Authorise' sharing and connecting with Connect2Field..
Hit 'Authorise'
You are redirected back to Connect2Field..
Transferring Clients to Xero
You are now all set to transfer contacts and invoices from Connect2Field to Xero..
First Contacts must be moved to Xero, only then can we transfer their Invoices..
1) First Hit the Xero Settings Box
2) Transfer Client list from Connect2Field to Xero
Before we start transferring, let us check the Xero Setting box:
The Sales Code box and Default Tax Code box are auto-populated from Xero..
Select the options from the drop-downs and Save.. You have to do this just once..
The Reset Logs button is used to reset any previous logs for client transfers.. This is to be used only when you would like to transfer all your client list again..
Let us transfer contacts from Connect2Field to Xero.. Hit the 'Contacts' button from the Connect2Field pane..
At the bottom of the panes, you can see the message pane..
All your transfer details and error messages get displayed here..
As you can see from above, the contact list for CheckMate Solutions who uses Connect2Field has been transferred successfully to Xero..
Keep an eye on this pane to make sure if there are any error messages displayed..
Transferring Invoices to Xero
- Select the Start/End Dates for the invoices you wish to transfer..
- Hit the 'Refresh' button.. The list below now shows all invoices for the period selected in (1)
- Select the Invoices you wish to transfer.. In our case all..
- Hit Transfer Invoice button
The transfer takes some time, so please be patient.. After a while hit Refresh button in the Xero pane and you can see the transferred invoices as below:
As you can see above the Invoices have been transferred from Connect2Field to Xero.. The below is the display in the message box..
Let us check the Xero account for CheckMate Solutions for the transferred contacts and invoices..
Login to your Xero account in a separate browser window..
Choose Contacts from main menu..
You can see some of our transferred client names..
Click on a Client name to view details..
As seen above, all the client details have been successfully transferred from Connect2Field to Xero..
Hit 'View Report' to check the Invoices for this client..
The invoice shows all the products that were attached to the job in Connect2Field.. These too have been successfully transferred..
From here on you can manage your accounts as usual with Xero..
