How to Customize Email/SMS Templates for your Field Workers & Clients
This tutorial will explain how to customize the Email Templates which go out to your field staff and clients during different stages of a job, for example, job creation and dispatch, job completed, when an invoice is sent via email etc..
We are showing this with an example for 1 such case.. However, the steps to customize all such communications, be it Email/SMS, remains the same..
From your Dashboard, choose:
Options->SMS & Email Management
For this example, we have chosen the template,
1) 'Email Message for Field Worker when Job is Dispatched'
2) Shows the actual email message body.. Here you can modify standard text as well as add some more fields from your job card..
3) To add more fields from your job card to this email template, hit 'Add Fields'
The above image shows the list of fields available for this template.. If you have custom fields for jobs set up, then they too would appear in this list..
(Please note, these are not actual text entries.. These are placeholders, which will display text entered for these fields when a job was created.. In simple words, they pull out corresponding values from the database..)
To select a field, simple drag your mouse over the field and select it.. Copy it.. Ensure to select the braces too..
1) Shows we pasted the field we selected in the above step into the body..
2) We entered custom text to the template..
3) Ensure to hit 'Save' to save the template..
All set.. Now whenever a job is dispatched to a field worker, an email with the above template would be sent..
