How to Import/Export your Clients in Connect2Field
This tutorial will explain how to import your clients into Connect2Field.
The lesson is divided into 2 parts:
(A) Importing Client list for the first time
(B) Exporting your current client list from Connect2Field, making changes, and re-importing back into the system.
Both the above have certain steps to follow.
(A) Importing Client list for the first time
From the main menu, choose:
Options ->Data Management -> Import Clients
Step1. Download our Client template file
Hit the 'Download Template File' link and it will prompt to save the file..
Choose 'Save File' on your computer..
Step2. Copy your clients into the template
Export your clients from your old system as a comma separated list. Using Excel or another spreadsheet editor, copy and paste your clients from the exported file into the Connect2Field template. Make sure the clients data you copy matches the column headings
provided in the template.
Alternatively, you could just type in your client data into the template file..
IMPORTANT:
1) Do not change the column headings in the template file. This needs to be unchanged for the import to work in the next step.
2) Also, the template file has certain field names with an * asterisk sign. This means these are compulsory fields and import will not work if they are left blank.
Step3. Import the updated template file
Choose 'browse' to get the client file from your computer
Hit Import
B) Exporting your current client list from Connect2Field, making changes, and re-importing back into the system.
From the main menu, choose:
Options -> Data Management -> Export Client
This prompts you to download your existing client list to the computer..
Choose 'Save File' and hit Ok.
You can now make changes to your client list, for example, changes to address fields, contact person, phone no fields etc, and then re-import this modified client file back into Connect2Field.
IMPORTANT:
1) If you have created any Client Custom Fields, these too will be downloaded as a separate column in the export file.
2) For each contact of a particular client, there are separate row entries. (Useful when only contact info needs to be changed)
3) Do not change the column headings in the template file. This needs to be unchanged for the import to work in the next step.
4) Also, the template file has certain field names with an * asterisk sign. This means these are compulsory fields and import will not work if they are left blank.
Step. 2: Re-Import the modified client file in Connect2Field
From the main menu, choose:
Options -> Data Management -> Import Client
Please note, if there are any issues with the import file, the errors will be displayed at the bottom of the page, while importing.
